A factory verification report, section by section

After an on-site factory verification you receive a written report in English or Spanish. Every real report comes with the video recorded at the factory. Below is the structure of the report. Each box explains what the section covers and shows an example of the kind of entry you would read, marked EXAMPLE.

The report describes what we verified and saw on the day of the visit. It is not a laboratory test or a certificate for the products.

1. Summary and recommendation

A short answer first: is this a manufacturer able to make your order, and what do we recommend you do next?

ExampleResult: manufacturer with its own production. Recommendation: go ahead to a pre-shipment inspection plan; fix two contract points first (see section 9).
2. Company identity and business license

We check the business license against the name on your quotation: legal name, registered address, business scope and legal representative. Names and numbers are masked in a shared example.

ExampleLegal name: [masked]. Registered address and visited address: match. Business scope includes manufacturing of the product category: yes. Name on the quotation matches the license: yes.
3. Factory or trading company

The evidence for the answer: what we saw on the production floor, not what the website says.

ExampleOwn workshop with production in progress, raw material in stock, staff at work. No sign that the visited site is only an office or showroom.
4. Production equipment and lines

The machines and lines we saw, and whether they were running.

ExampleCutting and welding stations running; powder-coating line idle on the day; packing area in use. Photos and video time stamps are in section 7.
5. Capacity

What the factory says it can produce, what we observed, and what is still open.

ExampleStated by the factory: [example monthly volume]. Observed: two lines running, one idle. Open question: how much of the capacity is already booked by other buyers.
6. Quality system

How the factory checks its own work: incoming material, in-process checks, final inspection and the measuring tools used.

ExampleIncoming material is checked; final inspection records are kept for recent orders; measuring tools seen at the final inspection table. A certificate was shown; a copy is attached for you to check with the issuer.
7. Photo and video log

A time-stamped list of what the video and photos show, so you can jump to the part that matters to you.

8. Price check

A quotation requested as a local buyer, compared with the quotation you received.

ExampleThe local-buyer quotation is lower than the export quotation. The report explains the gap and what may be added in the export price.
9. Red flags and open questions

Everything we could not confirm or did not like, ranked by how much it matters.

ExampleHigh The samples shown were made in another workshop; ask for the address. Medium Delivery date depends on one idle line. Low Packing area untidy; ask for photos of packed cartons.
10. Conclusion and next steps

What we recommend, and the options open to you.

ExampleProceed with an inspection plan agreed in writing (see the inspection standards), a deposit schedule tied to inspections, and the two contract points from section 9.
